Follow the patient journey
Examine referral intake, appointments, admissions, diagnostic coordination and discharge administration. Identify repeated requests for information, unclear handoffs and delays caused by incomplete preparation. Work with clinical leaders to understand which administrative steps are necessary and which can be simplified.
Responsibilities for service improvement
Clarify ownership of unresolved cases, establish escalation routes and improve communication with patients and families through authorised channels. Strengthen staff supervision and training. Align administrative changes with records, billing and clinical workflows so that local improvements do not create downstream problems.
The patient-services team should have a clear way to distinguish routine enquiries from issues requiring clinical or managerial escalation. Review whether patients receive consistent information as responsibility passes between departments. The interim head should examine unresolved cases by age and cause, then address recurring problems in the underlying process. Staff should not be expected to compensate indefinitely for missing information or unclear authority. Improvement should reduce the need for repeated explanation by patients and make the next step in their administrative journey dependable.
Qualified candidates
Candidates should have hospital administration or patient-services leadership experience and evidence of improving cross-department coordination. They need empathy, operational discipline and the ability to interpret service data. A clinical background may help but does not replace the management capabilities required.
What the service should gain
Measure progress through fewer avoidable delays, reduced repeat contacts and more complete handovers, using agreed baselines. Include patient feedback and staff workload in the assessment. Candidates should explain how they handled a service problem that crossed departmental boundaries. The handover should leave supervisors able to sustain improvements and a clear route for escalating exceptions that cannot be resolved locally.
