A live-events consortium needs a cross-festival logistics design for reusable flooring, barriers, power, sanitation and staging assets whose tight changeovers, condition uncertainty and fragmented ownership drive waste.
The mandate
The consortium buys and rents substantial infrastructure for summer festivals, yet the return path is organised supplier by supplier after exhausted strike crews leave each site. Barriers disappear into mixed compounds, temporary flooring is stacked before damage is recorded, cable and power distribution kits return incomplete, and sanitation modules miss the next event because cleaning capacity was assumed rather than booked. The defined problem is to design one credible network that improves reuse across competing event calendars without confusing a physically returned item with an inspected, complete and redeployable asset.
The commission must produce five named deliverables: an event-and-asset demand baseline; a condition and completeness state model covering twelve priority families; three hub-and-route alternatives with capacity and ownership rules; a commercial playbook for venue, lessor, repair and carrier interfaces; and a pilot implementation pack for two consecutive festivals. The model must keep owned, rented and supplier-controlled equipment distinct, expose missing components and damage liability, and price strike labour, cleaning, testing, refurbishment, storage, repositioning, emergency hire and end-of-life disposition.
Milestone one closes mobilisation and data validation on day fifteen. The baseline and asset-state dictionary are due in week six, then the steering group selects a network option at week ten after depot and carrier challenge. Detailed operating and contract designs are delivered at the end of month four. A live pilot follows one festival from load-in through strike, depot disposition and redeployment, with a second event used to test schedule compression. Final acceptance in month seven includes an investment sequence, implementation backlog, control owners and benefit ranges rather than a theoretical optimal map.
Acceptance requires at least 97% reconciliation of sampled priority assets from pre-event manifest to final state; a hub design that survives a forty-eight-hour strike delay and simultaneous cleaning bottleneck without inventing capacity; complete cost for each of three network choices; and signed operational confirmation from two producers, two depots and the safety lead that responsibilities are executable. The commercial playbook must resolve custody, evidence, damage, missing kits, late release and cancellation. Financial benefits are accepted only when replacement avoidance or hire reduction can be traced to pilot evidence.
The client supplies event calendars, site plans, asset registers, hire contracts, loss and damage records, carrier invoices, depot capacities, safety requirements, nominated interviewees and access to three live events. The engagement excludes engineering certification, crowd-safety approval, production command, supplier award, contract signature, inventory-system implementation and operation of the pilot. If registers are materially incomplete, the consultant will sample and state uncertainty rather than fabricate a fleet baseline; management remains responsible for approvals, labour consultation and any capital commitment.
Why this is external work
Each producer understands its own show, and suppliers understand their equipment, but no party owns the cross-calendar disposition problem. An external team can compare event evidence and contract boundaries without protecting a particular depot or rental model. The value is an accepted operating design and investable pilot, not permanent control of festival operations.
What you will own
- Reconstruct representative asset journeys across booking, venue receipt, assembly, live use, strike, count, damage capture, transport, cleaning, repair, storage and redeployment.
- Define operational states for complete, incomplete, contaminated, damaged, awaiting test, repairable, reserved, available and retired equipment across twelve dissimilar families.
- Model three network configurations against festival overlap, road time, depot access, workshop skills, cleaning throughput, severe weather and venue curfew constraints.
- Cost owned and hired assets through labour, transport, lost components, downtime, testing, refurbishment, storage, emergency substitution, write-off and disposal.
- Redraft interface controls for producers, lessors, strike contractors, carriers and depots, including evidence, cut-offs, liability, escalation and late schedule change.
- Direct two pilot measurements without operating the events, preserving safety leadership while tracing manifest accuracy, cycle time, readiness and avoided hire.
- Deliver a board-ready recommendation that separates evidenced savings, implementation dependencies, unresolved ownership questions and decisions requiring capital or contract change.
Candidate qualifications
- Has designed multi-event, rental-equipment or project-logistics networks where short mobilisation and strike windows govern asset availability.
- Can show a circular asset proposal changed after condition, completeness, cleaning or refurbishment capacity was measured at physical handoff.
- Understands temporary structures, power distribution, barriers, flooring, sanitation modules, event depots, carrier planning and seasonal portfolio economics.
- Has produced accepted operating models, commercial interfaces and live pilots without taking production or venue-safety authority.
- Can distinguish item count, complete kit, tested equipment, event-ready allocation, avoided hire and final reuse across successive customers.
- Has led an independent team through incomplete registers, fragmented suppliers and hard acceptance tests for a capital decision.
Non-negotiables
- Will observe three events and two strike-to-depot cycles while maintaining independence from shortlisted lessors, depots and carriers.
- Will not certify structures, approve crowd safety, command strike labour, award suppliers or present unverified availability as capacity.
- Brings direct event, rental or temporary-infrastructure logistics design; generic circular-economy strategy alone is insufficient.
- Will deliver all five artefacts, pilot evidence and exact DKK fee-to-month arithmetic within seven months.
