A global engineering group needs five months to redesign survivor support after deaths across countries exposed fragmented payroll, insurance, pension, estate and family-contact processes during a policy review.

The mandate

Recent employee deaths occurred during assignment, leave and ordinary service in different countries, revealing that compassionate support depends on local knowledge rather than a controlled pathway. Families received repeated requests for documents, payroll and insurers used conflicting beneficiary records, and managers made financial promises before entitlement was known. Pension, life, accident, unpaid pay, expenses, equity and repatriation each follow different authorities. The group needs one humane operating model without turning HR into estate or benefit adjudicator.

The deliverables are an event-and-authority map, family-contact protocol, entitlement inventory, document standard, vendor and country pathway, privacy controls, case governance and implementation roadmap. The design must cover confirmation, emergency notification, next-of-kin verification, body or remains logistics where relevant, final pay, expenses, insurance, pension, statutory benefit, equity, equipment, records, memorial support and team aftercare. It must separate known facts, potential entitlements and decisions reserved to insurers, trustees, courts or estates.

Four milestones govern five months: week four accepts jurisdictions, benefit populations and sensitivity protocol; week nine completes case and handoff diagnostics; week fifteen accepts the target family and entitlement journeys; and week twenty-two delivers simulation evidence, training, provider remedies and rollout sequencing. Billing follows those milestones. Live family cases will remain with named accountable officers and authorised specialists, not become project test cases without consent.

Acceptance requires payroll, benefits and country HR to trace representative entitlements from worker record through authorised recipient and payment; family contacts must receive one coordinated request list; vendors must demonstrate escalation and status evidence; and two simulations must handle assignment death plus disputed beneficiary information. The sponsor returns one consolidated exception list within seven working days, separating legal, benefit, operational and compassionate concerns.

The client provides policies, plan documents, beneficiary records, de-identified cases, payroll, insurance and pension processes, mobility arrangements, vendor contracts, counsel guidance and controlled access. The consultant does not confirm death, notify actual families, interpret estates or benefit law, determine beneficiaries, adjudicate claims, access unnecessary medical details, direct repatriation or promise payment.

Why this is external work

Country HR manages people, insurers and trustees determine benefits, payroll closes employment and managers support teams, but bereaved families experience those duties as one organisation. Existing failures arise at sensitive handoffs no provider owns. External survivor-operations expertise can design compassionate coordination and truthful communication without deciding entitlement or selling insurance.

What you will own

  • Map death-event response across confirmation, notification, family contact, security, mobility, payroll, benefits, estates and team support.
  • Define accountable authority, evidence, timing, privacy and escalation for every survivor payment and non-financial action.
  • Create a single family-contact protocol with consent, cultural sensitivity, translation, document minimisation and reliable updates.
  • Reconcile beneficiary records and potential entitlements without treating HR data as final insurer, trustee or estate determination.
  • Set provider standards for claim initiation, status, missing evidence, escalation, compassionate communication and closure.
  • Run assignment and disputed-beneficiary simulations, recording decision gaps, duplicate requests and unauthorised promises.
  • Deliver controls, case governance, training, country playbooks, vendor remedies and phased implementation.

Candidate qualifications

  • Has designed death-in-service, survivor-benefit or bereavement operations for a globally mobile workforce.
  • Understands final pay, life and accident insurance, pensions, statutory benefits, equity, estates and repatriation dependencies.
  • Can coordinate families compassionately while refusing to promise or adjudicate unconfirmed entitlement.
  • Has reconciled conflicting beneficiary and next-of-kin records through proper insurer, trustee and legal routes.
  • Brings credible collaboration with country HR, payroll, benefits, security, mobility, counsel, insurers and trustees.
  • Is independent of insurance placement, funeral services, repatriation vendors, estate referrals and claims economics.

  • Can attend monthly Zurich governance weeks and both survivor-journey simulations under strict confidentiality.
  • Brings direct survivor-benefit operations; general employee wellbeing or benefits procurement alone is insufficient.
  • Will not contact live families, determine beneficiaries, seek unnecessary medical detail or promise payment.
  • Will disclose relationships with insurers, trustees, assistance firms, repatriation providers and estate advisers.
