Custody begins with what arrived, not what was expected

A receipt discrepancy should be reconciled as a fact about transfer, without prematurely declaring either loss or completion.

An unresolved revision is a result worth preserving

Completing a field by inference can make an archive appear more authoritative than its source. The uncertainty needs an owner, not a convenient default.

Deliver the record, with its limits intact

I am chief operating officer of Thervani Document Systems in Vadodara. We convert industrial drawings, maintenance files and commercial archives into indexed digital records. The work includes physical preparation, image capture, metadata and retrieval testing. It does not make us the engineering authority for a drawing or the legal authority for retaining an original. I lead 780 operations colleagues through six heads, with ₹82 crore in delegated annual operating expense, within a company of 950 people.

My career began in 1987 with reprographic records work. I learned to keep track of a source before I learned to improve the speed of its reproduction. At Thervani I moved through line supervision, quality management and delivery leadership before becoming COO in April 2019. That progression has left me interested in the point at which a production count becomes a claim about completion. The distinction matters when the client will use a record long after the conversion team has left.

The decisions on this site concern evidence that would otherwise disappear into an aggregate. We reprocessed images whose faint annotations had not survived the first capture. We paused intake when the physical receipt did not match the expected box list. We kept uncertain drawing revisions visible instead of assigning a convenient current status. We also tested whether users could retrieve the intended item rather than assuming a populated index was enough. In each case, the operating account needed to show the extra work and the remaining limit.

An image could exist and still require another capture

A 740,000-image delivery included 86,000 items needing reprocessing because faint annotations were not consistently legible. We accepted ₹29 lakh additional operating cost and a three-week extension. The correction concerned capture quality, not a certification of the engineering content.

A missing receipt entry was resolved before intake continued

A client dispatch list showed sixty-eight boxes while our team received sixty-seven. We paused the affected intake for five days at ₹7 lakh standby cost. The remaining box was located in the client's retained stock; the receipt and dispatch records were reconciled without asserting that it had ever entered our custody.

Uncertain revisions remained visible to the owner

In a 12,000-record drawing sample, 720 required client clarification. After review, 540 were resolved and 180 retained an explicit unresolved status. We did not label the unresolved records current or claim that a readable scan established which drawing should be used.

Current focus

I am strengthening the connection between commercial scope, production evidence and client acceptance. The next improvement is an operating review that separates captures, accepted records, unresolved metadata and retrieval results, so that a single completion percentage cannot hide the work the customer still needs to do.

Conversations I welcome

I would consider one first external board seat in a specialist service or industrial-support business, subject to employer consent and relationship review. My provisional capacity is twenty-four days annually. I would bring operational scrutiny to a risk or service-quality committee where established, with no claim to chair immediately.

Rustom has reported to me as COO since 2019. When a delivery account looks complete, he asks what the client can actually accept and use. He makes the cost of resolving an exception visible before we decide how to proceed.
