Keep identity and authority intact through each transfer
A service record must preserve the identity of the equipment, the engineer's authority and the history of a correction after a field visit.
01
Represent the decision and its authorised maker
A visit can be administratively complete while engineering acceptance remains outstanding. I ask process owners to define those states separately, including who may record each decision and what evidence supports it. My information team then implements the agreed distinction in screens, access and reporting. In our closure case, an automatic mapping had concealed nineteen outstanding decisions among sixty-four reviewed visits. Removing that mapping was a system correction, not an engineering approval. Qualified technical colleagues still had to review the affected work and communicate through the relevant customer process. I want a report to show what has actually been decided, by whom and under which workflow. A shorter queue or cleaner status display is not a sufficient reason to merge decisions that carry different responsibilities. This discipline also makes unresolved work easier to discuss with directors.
02
Keep a serial string within its identifying context
A serial value may be unique within one manufacturer's system without being globally unique across every asset a service provider handles. We learned that through seven repeated strings belonging to fourteen devices. I work with technical owners to define the identifying context and with application teams to preserve it across migration, search and interfaces. A system-generated identifier can help maintain continuity, but it does not remove the need to verify the physical asset and the associated history. When records have already been merged, I will not assign an uncertain event to whichever asset is easier to select. The uncertainty must remain visible until the appropriate people establish the connection. This is information stewardship in a technical service setting, with engineering and customer confirmation where needed, rather than a claim that software alone proves an asset's identity.
03
Make offline conflicts a designed part of service work
Field teams cannot always rely on a continuous connection. Their application should preserve work locally, but synchronisation must not assume that arrival time establishes the order or authority of a decision. Our exercises found twelve conflicts in forty-eight scenarios where an older local edit overwrote a newer server entry. I required a workflow that retained both versions, made the conflict visible and routed resolution to an authorised owner. That introduced a real support task and sometimes delayed a clean record. It was preferable to silent replacement. My information function owns the technical mechanism and its testing; technical service owners determine which substantive finding is valid. We also need a usable account of who resolved the difference and why, so a later reviewer can understand the correction without treating either version as automatically true.
04
Report uncertainty at the level of the actual decision
Directors need to know whether an information issue concerns identity, an outstanding approval or a conflict between records. A single count of closed tickets would not explain the consequence or the required response. I describe the affected scope, the authority needed to resolve it and the cost of the proposed information change. I distinguish a sampled finding from the condition of the whole estate and an implemented control from an assured operating outcome. In our three cases, management also had to explain temporary workarounds and the people who would carry them. I want the board to understand the decision it is funding without becoming an application-design committee. Technical, legal and customer requirements may need separate advice. My contribution is to make the system's representation and limitations sufficiently precise for those responsibilities to remain visible.
A leadership conviction
A service application should carry a technical decision faithfully without pretending to make it. I want an equipment record that can distinguish two similar identifiers, an administrative closure that cannot impersonate engineering acceptance, and a field correction whose history remains intelligible after synchronisation. Those are practical responsibilities of an information leader in a service business.
