Make the obligation visible in the recommendation
A rental business must fund the equipment it owns without treating every receipt as money it can spend.
01
Separating spendable cash from refund obligations
I want a funding discussion to distinguish the bank balance from the amount available for a discretionary decision. Customer deposits may be refundable under the agreed terms, while other receipts already have scheduled uses. In our business we adopted an internal reserve for the deposit obligation and showed it separately in the management cash view. That policy should not be mistaken for a general legal rule or a statement about every customer's rights. Finance works with the relevant advisers on contractual and accounting treatment. My responsibility is to make the funding recommendation understandable: what is held, what could have to be returned, what is already committed and what would remain after a proposed purchase. The reserve also needs a clear owner and reconciliation, rather than being a figure remembered only when cash becomes tight.
02
Testing the timing of fleet investment
A replacement programme can have a reasonable expected life-cycle cost while still requiring more initial funding than the first summary suggests. I ask when the supplier must be paid, when rental receipts might arrive and which later disposal assumptions are uncertain. A forecast sale five years away does not reduce the payment due at purchase. The board should see both the investment economics and the financing schedule, including a weaker resale outcome. I work with service specialists on useful-life and operating assumptions without deciding technical acceptability myself. Finance should also show the cost of delaying or phasing the purchase, because retaining older equipment can have consequences for availability and service expense. The recommendation is a choice among imperfect alternatives, supported by explicit assumptions rather than a single net number.
03
Connecting rental collections with service events
Before escalating an overdue account, I want to know whether the billed period agrees with the relevant service events and contract. Verified collection, an unresolved return record and a formally agreed instalment plan are different situations. They should not produce the same demand merely because their balances share an ageing band. My team reconciles the evidence with service colleagues and routes corrections through authorised finance review. That does not mean treating every dispute as a valid credit or every instalment as collected cash. The remaining balance still requires follow-up under its terms. A useful collections report therefore distinguishes amounts needing correction, agreed future payments and other due accounts, with a named owner for each. The customer experience and the company's cash forecast both improve when that distinction is made before action.
04
Explaining capital choices across different owners
Family shareholders, investment partners and employee beneficiaries may look at the same proposed expansion with different time horizons. My task is to give them a consistent account of funding, obligations and uncertainty through the company's governance arrangements. I do not promise that one metric can resolve their preferences. I show the immediate commitment, operating assumptions, downside and consequences of an alternative such as phasing. I also state which approvals are still required and which specialist judgements finance relies upon. The deposit and replacement cases taught me to preserve uncomfortable distinctions even when the summary becomes less elegant. A director should be able to understand why a recommendation changed without reconstructing the entire model. The finance team should be able to explain that reasoning after the CFO leaves the room.
A leadership conviction
I ask what obligation arrived with the cash and what work remains before a rental asset can earn again. Finance should make those conditions visible while there is still a choice about spending, purchasing or collecting. A clean total is useful only when the people relying on it understand what it includes.
