Four connections an operation must preserve
A loan operation must preserve what happened outside its system.
01
Connecting the inspected asset to the release
I ask whether the equipment described in the financing file is the equipment the inspection evidence actually concerns. A supplier invoice may contain a model description while the field record uses a serial number or an internal reference. Those identifiers need a reliable relationship before operations treats the file as ready. My team does not replace the technical assessor or decide the credit proposition. It checks that the required evidence supports the release conditions and refers unresolved differences to the accountable function. In one review,62 files worth ₹18.6 crore were held for that work; 43 later proceeded and nineteen required further decisions. The purpose was to avoid allowing a plausible document to stand in for an unverified physical fact. I also insist that a discrepancy be described accurately: uncertainty is a reason to investigate, not evidence of wrongdoing by itself.
02
Tracing an account date to the movement of funds
A date can enter a servicing system through an administrative shortcut and then affect a customer's charges repeatedly. I work with finance, compliance and technology to identify the event that each consequential date is meant to represent. For disbursement-related interest, the account record must reflect the applicable treatment of funds actually disbursed, rather than an earlier sanction or internal booking event. Our review found 86 accounts with an incorrect starting point and led to ₹11.8 lakh in validated refunds. Operations coordinated the evidence and execution; finance and compliance determined the correction. I wanted the process change tested against bank records so that the same error could not simply be reproduced under a new field name. The refund repaired identified accounts, while the event definition and control addressed how subsequent accounts would be handled.
03
Knowing who can account for a stored record
Moving boxes to a storage provider is not enough to establish custody. I want a record of what was handed over, who accepted it, how an authorised request will locate it and what happens when the manifest is incomplete. During a transfer involving6,800 closed-account files in 118 sealed boxes,22 boxes needed a joint count because the accompanying lists could not support acceptance. We kept responsibility visible until that work was done. The selected arrangement carried ₹9 lakh more annual custody cost than the cheapest proposal, but provided the evidence and retrieval process we required. That was an operating choice, not a claim that a higher price automatically creates control. Retention periods, access permissions and any disposal decision remained governed by the applicable policy and legal review; operations did not invent a universal period for every document.
04
Following returned money into the right account
A supplier refund can appear in the bank before the servicing team knows which cancelled order it concerns. I separate receipt of cash from identification, borrower-account application and resolution of the remaining claim. The distinction matters when a supplier sends a combined amount or only part of the expected refund. In our review of 31 cancelled orders, ₹7.6 crore had arrived against ₹8.4 crore expected. Twenty-four account cases were resolved, while seven required further work and ₹80 lakh remained outstanding. My team maintained the mapping and evidence; finance controlled the accounting entries and credit or legal colleagues considered any unresolved contractual position. We did not call every case complete because most of the cash had arrived. The borrower needed an accurate account outcome, and the company needed to retain ownership of what the supplier still owed.
A leadership conviction
The screen tells us what somebody recorded. The operation has to establish what actually happened: which machine was inspected, when money moved, who received a document and whose account a refund belongs to. I want colleagues to preserve those distinctions when the pressure is to complete a queue. A faster process is useful only when the next person can rely on the event it claims to represent.
